Why Is Sending a File Still This Much of a Headache in 2025?

Let's set the scene. You need to send someone a large file. Maybe it's a video project, a high-res design comp, a dataset, whatever. Here's what happens next:

You try email. Too big. You upload to Google Drive and generate a share link—except the recipient is on a corporate network that blocks Google Drive. You try Dropbox. They don't have an account. You try WeTransfer. The link expires in seven days and they don't check their email for ten. You end up mailing a USB drive. In 2025.

This is not a rare edge case. This is Tuesday.

The Fragmentation Problem Is Structural

File-sharing as a concept is not technically difficult. Moving data from one machine to another is something computers have done since before most of us were born. The reason it's still so annoying isn't an engineering failure—it's an ecosystem failure.

Every major platform has built its sharing infrastructure to serve its own retention goals first and user experience second. Google Drive wants you inside Google's ecosystem. Dropbox wants you on Dropbox. iCloud works beautifully until the other person doesn't use Apple products, at which point it becomes actively hostile. These platforms aren't designed to talk to each other because interoperability would reduce lock-in, and lock-in is the business model.

The result is a landscape where the average person in 2025 has files scattered across four or five different services, none of which communicate naturally, and every sharing scenario requires a mental flowchart. What service are they on? What's the file size? How long do they need access? Do they need to edit it or just download it?

That's an absurd amount of cognitive overhead for something as basic as handing someone a document.

The Attachment Limit That Time Forgot

Gmail's 25MB attachment limit was introduced in 2004. The average smartphone photo in 2025 is somewhere between 4 and 12MB depending on the device. A two-minute 4K video clip is easily 500MB. A lossless audio file can hit 300MB without breaking a sweat.

The math here is not subtle. Our files have scaled dramatically. The attachment limit has barely moved. And yet email remains the default sharing mechanism for a huge chunk of the professional world, which means the workaround (upload somewhere, paste a link, hope it works) has become so normalized that most people don't even register it as a workaround anymore. It's just... what you do.

Dan R., a freelance photographer in Portland, put it bluntly: "I spend probably 20 minutes per client just figuring out how to get them their files. Not editing. Not shooting. Just logistics. It's genuinely the most frustrating part of the job."

The Link Expiration Trap

Cloud-based sharing introduced a new problem that didn't exist in the era of email attachments: the expiring link. Services like WeTransfer, Smash, and similar tools often cap free transfers at a week or less. For recipients who move slowly, or who are traveling, or who just get busy, that creates a support burden that falls entirely on the sender.

And even when links don't expire, they break in other ways. Permissions get changed accidentally. Files get moved inside a shared drive. The platform updates its sharing interface and old links stop resolving. Anyone who's managed a shared project folder knows the experience of hunting down a link that worked last month and definitely doesn't work today.

Peer-to-Peer Had It Right (Sort Of)

Here's the uncomfortable truth: the peer-to-peer model that powered early file-sharing communities—BitTorrent, early Napster, DC++, all the rest—was architecturally superior to most of what we use today in several meaningful ways. It was decentralized, so there was no single point of failure. It didn't require both parties to be on the same platform. And for large files, it was genuinely fast because it distributed the load across multiple sources.

The reason we moved away from it wasn't that it stopped working technically. It's that the content industry successfully associated the entire P2P architecture with piracy, and platforms with centralized control offered a more legally comfortable alternative. The baby went out with the bathwater, and now we're all using services that are slower, more brittle, and more dependent on corporate intermediaries than what came before.

Modern P2P implementations like Syncthing, IPFS-based tools, and even some newer consumer apps are trying to recapture those advantages in a more palatable wrapper. The adoption curve is slow, but the interest is real.

What Frictionless Actually Means

When people at FileChan talk about what sharing should look like, the conversation usually comes back to a few core principles.

Recipient shouldn't need an account. This one should be obvious, but it eliminates a huge portion of the friction people experience daily. If your sharing workflow requires the other person to sign up for anything, you've already lost a percentage of your audience.

Links shouldn't expire by default. Expiration as an option makes sense for sensitive material. As a default, it's just a way to push users toward paid tiers.

File size limits should reflect reality. A 25MB cap in 2025 is not a technical constraint. It's a product decision. Platforms that set limits this low are making a choice, and users should recognize it as such.

Platform agnosticism should be the goal. The best sharing experiences are the ones where the recipient doesn't need to know or care what service you used. They click a link, they get the file. Done.

The Community Angle

There's also a dimension to this conversation that goes beyond individual file transfers—it's about how communities form around shared content. The message boards, forums, and file-sharing hubs that defined early internet culture were rough around the edges, but they had something modern platforms often lack: a genuine sense of collective ownership over the content and the space.

When you upload something to a platform that can delete it, demonetize it, or make it inaccessible without notice, you're not really sharing—you're renting access through someone else's infrastructure. The communities that have lasted, the ones that actually feel like communities, tend to be the ones where users have some real stake in how things work.

That's a harder problem than fixing link expiration. But it's the more interesting one.

So What Do We Actually Do?

In the near term: know your tools and match them to the use case. For large one-off transfers, tools like Wormhole or Send Anywhere handle size without requiring accounts. For ongoing collaboration, a self-hosted solution like Nextcloud gives you control that no commercial platform will. For community-scale sharing, platforms that prioritize accessibility and longevity over monetization are worth seeking out.

In the longer term: push back on the normalization of friction. The fact that sending a file is still this annoying isn't inevitable—it's a choice that a handful of platform companies have made on your behalf. The more users demand better defaults, the more pressure there is to actually build them.

Files want to move. That's the whole point of them. Let's stop making it so hard.
